CHURCH VOLUNTEER SCHEDULING SOFTWARE

Church volunteer scheduling that knows who's coming — and who hasn't answered yet.

Ministry Planner is church volunteer scheduling software built for the people who actually run Sunday. Set how many volunteers each role needs, send the ask once, and watch the gaps close — every RSVP lands in your planner the moment it happens.

THE SATURDAY NIGHT SCRAMBLE

Right now, Sunday lives in a group text.

You sent the ask on Tuesday. A few people replied. One replied to the wrong thread. By Saturday night you're counting heads from memory and hoping the nursery is covered. That's church volunteer management without a system.

01No one knows the real count until Sunday morning
02The same three faithful people carry every week
03Needs change week to week; your list doesn't
01DEFINE TEAM NEEDS

Say what a full team looks like. Once.

Two preschool leaders, one check-in host, four vocalists. Set the target per role per campus and Ministry Planner uses it as the baseline for every service after that. It's the difference between a volunteer sign-up sheet and scheduling software that knows what a full team looks like.

✓Per-campus role targets — each location staffs itself
✓Quick-add from common kids ministry, worship & tech roles
✓Custom roles for anything unique to your ministry
✓Targets persist week to week — set it and forget it

02POSITION ROSTERS

Know who can serve before you ask who will.

Positions is your church's depth chart. Every role gets a column, and every person who can fill it gets a card. Drag a name from the people rail to tag them — no forms, no profiles to edit. Now the gaps are obvious months before Saturday night.

THE REAL POSITIONS BOARD

Turn on Schedule and the depth chart becomes a booking sheet.

Same board, one toggle. Pick a Sunday and every card fills in the service times that person is already booked for — so capability and availability sit in the same column.

Schedule · Positions · Worship · Aug 9
Church volunteer position rosters: the Ministry Planner Positions board with Schedule turned on, showing every worship position, who can serve it, the service times each person is booked for, and volunteers who are booked but not yet tagged
A
Pick the date, not the person

The date rail runs eight Sundays out. Choose one and the whole board re-reads against it.

B
Times, right on the card

Green chips are the service times that person is booked for. Grey chips are times still open to add.

C
Booked, but never tagged

The board catches anyone you scheduled for a role they were never tagged for — and tags them in one click.

Easter needs more people. Your template shouldn't change.

Big Sundays need double the check-in hosts. A mid-week service needs half. Override the needs for one event without touching the weekly default you spent an afternoon getting right.

KIDS MINISTRY VOLUNTEER SCHEDULING

Your volunteers show up already knowing the lesson.

Scheduling kids ministry volunteers is different — they need the curriculum, not just a time slot. Their confirmation email can carry the whole week's lesson — the Bible story, the big idea, the memory verse, even the full lesson plan. No Saturday-night curriculum scramble.

✓Story, big idea & memory verse right inside the email
✓Pulled from the curriculum linked to each role
✓Optional — flip it on for your whole church in Settings

QUESTIONS LEADERS ASK

How church volunteer scheduling works in practice.

The questions worship pastors, kids directors, and volunteer coordinators send us most.

How do I track who is qualified to serve on the worship team?

Use Positions. Each role on a team gets its own column, and you tag the people who can actually fill it — drums, bass, vocals, sound, preschool, check-in. Once someone is tagged, they stay tagged for every service after that, so the board doubles as a permanent record of who is trained for what.

How do I find someone to cover a role when a volunteer drops out?

Open the position that just went empty and you are looking at everyone in your church who can serve it. Turn on Schedule for that Sunday and the cards show who is already booked and who is free, so you are picking a name instead of sending a church-wide plea.

Can I see which volunteers have never been given a role?

Yes. The people rail dims anyone already tagged to a position and keeps a running count of who is not — “30 people haven’t been tagged with a position yet.” It is the fastest way to find the members who signed up to help and were never actually plugged in anywhere.

What if I scheduled someone for a role they were never trained for?

The board catches it. Under each position, Booked · Not Tagged lists anyone scheduled for that role on the selected date who has not been tagged for it — with a one-click Tag button if they genuinely can do the job, so mistakes surface before Sunday instead of during it.

Is Ministry Planner free volunteer scheduling software for churches?

Yes — the volunteer scheduler is available as a genuinely free plan: 1 team, up to 50 volunteers, RSVP links and reminders included, with no credit card and no expiring trial. Paid plans start at $9.99 a month for the whole church and add more teams, service planning, and the rest of the workspace — no per-volunteer fees, no per-seat licenses.

Do volunteers need an account to accept a shift?

No. Assigned volunteers get a secure personal link to their own run sheet and accept or decline in one tap. There is no app to download and no password to reset, which is why response rates hold up.

Does this work for a church with more than one campus?

Yes. Role targets are set per campus, and the Positions board filters people by campus — each location staffs itself from its own people while you still see the whole church on one board, or narrow it to a single campus in one click.
